Express air freight delivery typically takes 5-10 business days from the date of shipment. Courier services for smaller orders usually deliver within 3-7 business days. These timelines are subject to customs clearance procedures in the destination country.

2.3 Order Processing Time

All orders require 3-5 business days for processing and preparation before shipment. This includes order verification, quality checks, packaging, and documentation preparation. Custom orders or large volume purchases may require additional processing time.

3. International Shipping

Import duties, taxes, and customs clearance fees are the responsibility of the customer and are not included in the product price or shipping costs. 3.2 Documentation

Vairaa provides all necessary export documentation including commercial invoices, packing lists, certificates of origin, and phytosanitary certificates where required. We ensure all documentation complies with international shipping regulations and destination country requirements.

All products undergo thorough quality inspection before packaging and shipment. We ensure that our coco peat products meet our high standards for quality, moisture content, and EC/pH levels. Quality certificates are provided with each shipment.

5.3 Packaging

Products are carefully packaged to prevent damage during transit. We use industry-standard packaging materials and methods appropriate for the shipping method and destination. Bulk orders are loaded into containers with proper securing and protection.

6. Tracking and Delivery

  • Once your order ships, you will receive a shipment notification email containing tracking information. This allows you to monitor your shipment's progress and estimated delivery date.
  • For sea freight shipments, we provide bill of lading details and vessel information. For air freight and courier shipments, we provide air waybill or tracking numbers that can be used on the carrier's website.

6.1 Tracking Your Shipment

Use the tracking number provided in your shipment notification to monitor your order's location and status. For sea freight, tracking updates may be less frequent than air or courier shipments. If you have questions about your shipment status, our customer service team is available to assist.

6.2 Delivery Confirmation

Upon delivery, you or your designated recipient will need to sign for the shipment. Please inspect the shipment for any visible damage before signing. If damage is evident, note it on the delivery receipt and contact us immediately.

6.3 Failed Delivery Attempts

If delivery cannot be completed due to incorrect address, recipient unavailability, or refusal of shipment, additional fees may apply for storage, redelivery attempts, or return shipping. Please ensure accurate delivery information is provided and that someone is available to receive the shipment.

7. Shipping Issues and Claims

  • While we take every precaution to ensure safe delivery, issues may occasionally occur during transit. Vairaa is committed to resolving any shipping-related problems promptly and fairly.
  • If you experience any issues with your shipment, please contact us within 48 hours of delivery for damaged goods or within 7 days for missing items or other concerns.

7.1 Damaged Goods

If your shipment arrives damaged, document the damage with photographs and notify us immediately. Do not discard the damaged items or packaging, as they may be needed for insurance claims. We will work with you and the carrier to resolve the issue and arrange for replacement or refund as appropriate.

7.2 Lost Shipments

If your shipment does not arrive within the expected timeframe, contact us so we can initiate a trace with the carrier. For insured shipments, we will file a claim on your behalf if the shipment is confirmed lost. Replacement or refund will be processed once the claim is resolved.

7.3 Incorrect Shipments

If you receive incorrect products or quantities, please contact us immediately with details and photographs. We will arrange for the correct items to be shipped at no additional cost and provide instructions for returning the incorrect items if necessary.

8. Returns and Refusals

  • Due to the nature of our products and international shipping, returns are handled on a case-by-case basis. Please contact us before refusing or returning any shipment.
  • Customers are responsible for return shipping costs unless the return is due to an error on our part or defective products. Refused shipments may be subject to restocking fees and return shipping charges.

All returns must be authorized by Vairaa before shipping. Contact our customer service team to request a return authorization number (RMA). Returns without proper authorization may not be accepted or refunded.

8.2 Return Conditions

Products must be returned in their original, unopened packaging to be eligible for refund. Opened or used products cannot be returned unless they are defective. Returns must be made within 30 days of delivery.
